ERP vs Google Sheets for a small business in India: the real 3-year cost
Short answer: If you have under about 100 people, run accounts in Tally and mainly need control over payments, stock, staff and daily reporting, simple systems on Google Sheets and WhatsApp usually cost a fraction of an ERP over three years and get used far more. Choose an ERP when you need deep manufacturing planning, many integrated departments, or strict audit trails across several companies.
The real question
The question is not which software is more powerful. It is which one your team will actually use every day. An ERP nobody updates gives you worse numbers than a register. Most failed ERP projects in small Indian businesses fail on adoption, not features.
3-year cost compared
| For a 10 to 30 person business | Mid-tier ERP or SaaS suite | Owned Google Sheets systems |
|---|---|---|
| Licence or subscription | Per user, every month or year | Nil (runs on Google Workspace you have) |
| Implementation | Often several lakh, plus consultant days | One fixed price, typically ₹5,000 to ₹25,000 |
| Staff training | Days, new screens and logins | About 30 minutes; phone forms and WhatsApp |
| Changes later | Partner charges per change | Simple to change; you own the code |
| If you stop paying | Access stops | Keeps running |
| Typical 3-year total | ₹3 lakh to ₹15 lakh+ | ₹5,000 to ₹25,000 |

When an ERP is the right choice
- Complex manufacturing: bills of material, MRP, multi-stage production planning.
- Many departments that must share one live database: sales, purchase, production, HR, accounts.
- Several companies or GST registrations with consolidated, audited reporting.
- More than about 100 daily users, or regulatory audit-trail requirements.
When owned Sheets systems win
- Accounts already work fine in Tally and you need control around it: collections, floor stock, attendance, gate and a daily report.
- Your team lives on WhatsApp and resists new apps.
- You want to own the system and avoid monthly rent.
- You want results in weeks, not a 6-month project.
A quick way to decide
- Write down the three problems that cost you the most money today.
- For each, ask: is this an accounting problem (Tally solves it) or a follow-up and visibility problem?
- If they are follow-up and visibility problems, start with a simple owned system for the biggest one. If it pays back in a few months, add the next.
- Revisit an ERP only when you outgrow that, typically past 100 users or with complex production planning.
